Article I.  Name

 

  1. The name of the organization shall be the Parent Teacher Fellowship (PTF) of Providence Classical Christian School.

Article II.  Statement of Purpose

           

The purpose of the PTF shall be:

  1.  To act as a service organization that furthers the mission of the school, promotes fellowship among parents and teachers, and provides Providence with assistance at social and other functions as needed.
  2. To support the overall Providence philosophy and promote unity of the school.

 To achieve these things the PTF shall:

  1. Capitalize on the gifts and strengths of parents by encouraging involvement and coordinating parent volunteerism.

 Article III.  Statement of Membership

 

  1. The PTF shall be an organization of parents and teachers of students enrolled at Providence.
  2. All parents and teachers of Providence shall automatically become members of the PTF. 

 Article IV.  Statement of Officers

 

  1. The officers of the PTF shall form an all school executive committee consisting of president, vice presidents, secretary, and treasurer.  A School Administrator shall sit on the PTF as a non-voting member with the exceptions noted in Article XII.  Voting.
  2. In order to provide continuity of leadership and to maintain and present Providence's Christian character, the PTF officers shall be people who have personally exercised faith in Jesus Christ as their only hope of salvation and whose life demonstrates that faith.

 

Article V.  Statement of Authority, Scope, and Accountability

 

Providence Board of Directors

 

  1. The Providence board of directors has general oversight of all aspects of Providence, including the PTF and the nomination of officers.
  2. The Providence board of directors delegates to a School Administrator the day-to-day oversight of all school operations, including those of the PTF.

 

School Administrator

 

  1. A School Administrator shall be responsible for the implementations of all Providence board policies.
  2. A School Administrator shall serve as advisor to the PTF.
  3. All decisions of the executive committee and the PTF are subject to a School Administrator's approval.

 

Executive Committee

 

  1. The executive committee shall direct sub-committee heads (standing or ad hoc) for major activities and events of the school, and act as a liaison between staff and the PTF for volunteer activities. 
  2. The executive committee shall be accountable to the Providence board of directors and the School Administrators.
  3. The executive committee shall work to represent and serve each grade level.
  4. The executive committee shall meet monthly during the school year.
  5. The executive committee shall plan the PTF calendar, all PTF meetings and activities in consultation with the administration.
  6. Employees of Providence that work more than half time shall not be officers of the PTF.

 

Article VI.  PTF Meetings

 

The PTF shall hold quarterly meetings during the school year.

 

Article VII.  Campus Executive Committee Responsibilities

 

President

 

  1. The president shall set all executive committee and quarterly meetings.
  2. The president shall preside at all executive committee and quarterly meetings.
  3. The president shall set the agenda for executive committee and quarterly meetings.
  4. The president shall consult with the School Administration on a regular basis.
  5. The president will insure all executive committee positions are filled.
  6. The president shall be responsible for distributing information to appropriate officers.
  7. The president will act as a liaison to Providence staff and administration.

 

 

Vice Presidents

 

  1. There will be two vice presidents:  Parent Activities, and Student Activities.
  2. The vice presidents shall assist the president in planning and conducting PTF activities.
  3. The Vice President of Parent Activities will take the place of the president in case of the presidents' absence.
  4. The vice presidents will participate in all executive committee meetings.
  5. The vice presidents will recruit chairpersons for all committees in their areas.
  6. The vice presidents will help to promote events.
  7. The vice presidents will monitor progress of their committee objectives.
  8. The vice presidents will bring issues to the executive to determine appropriate action
  9. The vice presidents will develop notebooks for each of their committees and collect committee notebooks at end of school year to pass on to next year's chairpersons.
  10. The vice presidents will sponsor an executive committee appreciation luncheon or coffee at the end of the school year.
  11. The vice presidents will encourage broad participation by the PTF community.

 

Secretary

 

  1. The secretary shall record all minutes of the executive committee meetings and all related papers..
  2. The secretary shall post the minutes of all executive committee meetings and give a copy to all officers.
  3. The secretary shall post agenda for general meetings to newsletter and school bulletin board two weeks prior to date.
  4. The secretary will write notes of appreciation and any other correpondence needed.

 

Treasurer

A.    The treasurer shall implement the PTF budget. 

B.     The treasurer shall be responsible for the accurate accounting of all PTF dues/funds, and PTF related programs. 

C.     The treasurer shall make a monthly report at the all school executive committee meetings. 

D.    The treasurer shall prepare a proposed budget to be presented to the PTF at the last meeting of the year.

E.     The treasurer shall prepare a final budget for vote in the October PTF meeting.

F.      The treasurer shall work out logistics of handling expenditures with the Providence financial person.

G.    Qualifications include working knowledge and experience of general bookkeeping principles.

 

Article VIII.  Finances

 

A.    The PTF shall maintain its own financial records and accounts.

B.     The PTF budget shall be written and approved by the all school executive committee.

C.     Financial assets shall be deposited in separate PTF accounts, but are the property of Providence.

 

Article IX.  Nominations/Appointments

 

A.    Executive committee officers and sub-committee head appointments shall be based on qualifications, gifts and strengths of members, and/or prior year volunteerism within the PTF.

B.     The current executive committee shall appoint nominees.

C.     The School Administration retains the right to review or veto the nomination and appointment of all executive committee members.

D.    Nomination and appointment of officers and subcommittee heads shall take place in the spring of the year for the following school year.

 

Article X.  Term of Office

 

A.    Executive committee officers shall serve for a term of two years, and are eligible for reappointment for the same office up to three years, after which at least one year must be taken off.  This is negated in; cases where no other nominations are received.  The intention is to encourage continuity for the VP positions with one member going off and one coming on each year and to encourage other PTF members' participation.

B.     Chairmen heads shall serve for a term of one year in any position, and are eligible for reappointment for the same office up to two years, after which at least one year must be taken off. This is negated in cases where no other nominations are received.  The intention is to encourage other PTF members' participation.

 

Article XI.  Voting

 

A.    A simple majority of the members of the school executive committee is required for approval of motions of any of their meetings. 

B.     In the event of a deadlock, the School Administration will make the final decision.

C.     All decisions of the executive committees and the PTF's are subject to the School Administration approval.

 

Article XII.  Amendments to these Guidelines

 

A.    Executive committee members may introduce recommendations for amendments or revisions to these guidelines through their committee.

B.     All amendments or revisions are subject to the approval of the Providence board of directors.

C.     Any article in these guidelines may be amended or revised by action of the Providence board of directors.

 

Article XIII.  Restructuring of the PTF

The Providence board of directors has the right to restructure the PTF for cause, and in this situation, all assets and/or records of the PTF are the property of, and shall be turned over to, Providence.
